Terms and Conditions

Introduction:

Holidayplanet Pty Ltd (The Company) trades as Holidayplanet-Flightplanet-Cruiseplanet.The following Terms and Conditions apply generally to all the products and packages sold by Holidayplanet, Cruiseplanet and Flightplanet (the Company). Some products also have special conditions applying to them. The payment of a booking confirms acceptance of these terms and conditions.

Responsibility:

Products sold by Holidayplanet, Cruiseplanet and Flightplanet (The Company) as agents for AIRLINE AND WHOLESALE COMPANIES and other principals providing, inter alia, accommodation and transportation services. All tickets, coupons, exchange orders, vouchers and receipts are issued subject to the appropriate tariffs and terms and conditions of sale of the Company's principals and these conditions. It is therefore important to note that all bookings made by the Company are subject to the terms and conditions imposed by airlines, coach operators, hoteliers and others providing services including, but not limited to, shipping, rail, car hire, ferry, tour and restaurant operators whose services are utilised by the Company, some of which limit or exclude liability in respect of insolvency, non operation, death, personal injury, delay and loss or damage to baggage.

Liability:

The Company accepts no liability for any loss or damage occasioned by the negligence of such principals and reserves the right to cancel or modify itineraries or bookings where circumstances require. The Company cannot accept any liability for the acts, omissions or default, whether negligent or otherwise, of airlines, car rental operators, ferry companies, hoteliers, tour operators or other persons providing services in connection with your tour pursuant to a contract between themselves and you (which may be evidenced in writing by the issue of a ticket, voucher, coupon or the like) and over whom the Company has no direct or exclusive control. Your acceptance of any tickets, coupons, exchange orders, vouchers and receipts will be deemed acceptance of the above conditions and of any alterations made to your tour. The Company reserves the right to decline acceptance of any individual on any tour.
By making a booking through the site, you warrant that you are at least 18 years old.

Availability:

The products sold by the Company are subject to availability and may change without notice. Offers may be withdrawn at any time.

Rates and Price Variations:

The Company reserves the right to vary the rates in the event of adverse moments in exchange rates or price rises made by the principals. Additional bookings will be subject to surcharge as appropriate. Rates are: per tour, per night, accommodation, per crossing ferries, per package; as appropriate to the particular product. Car rental is based on a 24 hour period commencing from the time of pick-up throughout.
Seasonal surcharges and black out dates may apply.
Although care has been taken, prices cannot be guaranteed until payments have been received and documents are issued. Unless stated otherwise, prices are in Australian Dollars and are inclusive of pre-payable taxes and government charges.

Spelling of Names:

Please ensure that the spelling of first name(s) and surname(s) are correct at time of booking and match the first name and surname exactly as shown on your passport(s).  It is your responsibility to provide the correct information at the time of booking, as you will incur costs to amend details at a later stage if the information you supplied was incorrect.

Passports & Visas:

It is very important that you read the following information carefully.
Passport - All individuals departing from Australia must be in, possession of a valid passport. If your passport is due to expire within six months of your return arrival in Australia then under normal circumstances you should obtain a new passport.
Visa - Certain countries require a visa for entry prior to arrival. Please ensure you are fully informed of their requirements as soon as you have made your reservation with our office. Entry to any country is at the discretion of the relevant immigration authorities on arrival. Please refer to “Passports and Visas” in our Terms and Conditions attached to this letter. Visa Bali - It is a requirement that any person travelling to Bali and obtaining a visa on arrival (eg, Australian, British, etc) must have at least two blank pages in their passport.
Visa USA - If you are visiting or transiting through the USA, Australian passport holders do not require a visa for stays up to 90 days for tourist purposes. Effective from 12 January 2009 you must “pre register” your intention to enter the USA at least 72 hours prior to your scheduled departure. Travellers
who do not apply for and receive a formal travel authorisation ahead of their intended departure date will not be able to board a flight or ship to the USA. To apply online for a USA Travel Authorisation, visit https://esta.cbp.dhs.gov/esta Be aware that visa waivure conditions do apply. For example, you may
require a visa if you have a criminal record. In this case you must apply for a visa. It is essential we have sight of your passport as soon as possible to assist you to ensure the above regulations are fully complied with.

Low Cost Carriers:

In some instances bookings made with Low Cost Carriers (eg Virgin Blue) DO NOT include a check-in luggage allowance. Check-in luggage allowance is only included if stated on your booking confirmation issued by the airline. Check-in luggage allowance may be purchased at an additional cost.

Payments:

Full payment is required to secure your booking. No liability will be accepted by The Company until payment is actually received by The Company.
Any binding contract will only exist between you and The Company when full payment has been made and all tickets, coupons, exchange orders, vouchers and receipts have been issued to you by The Company.
Your booking is confirmed and guaranteed only once you receive a booking confirmation email from The Company acknowledging your booking request has been received and processed. It is not until you receive a booking confirmation email that your seats are booked and paid and your booking with the airline is finalised.
There may be two (2) charges to your card, one from the Airline and one from The Company, the total amount charged to your card will be total amount shown at time of booking.
Where a Flightplanet service fee is charged, this fee is non-refundable.
The Company cannot accept responsibility for fraudulent use of a credit card.
Payment received via Credit Cards will incur the following fees: Visa / MasterCard 3% and American Express / Diners 5%

Credit Card Payments

Payment is required by credit card, you must be the card holder. The name on the card must match the name on your booking.
In exceptional circumstances, payment can be made using a card that is not in your name, we will however require the card holder to complete and sign a Third Party Authorisation Form, please contact us on 1300 997 900 to obtain this form. We will also require fax copies of the front and back of the credit card, clearly showing the card holders signature.
Your booking will not be processed until we have sighted the Third Party Authorisation Form and the copies of the card, this means your booking is subject to price increases.
Credit card fees apply to all bookings, these will be advised at time of booking.

Price Inclusions and Exclusions:

Items included in the prices or rates of the products are specified in each section. Prices do not include: meals other than as stated in itineraries; any air fares; Government departure taxes; passport and visa charges; vaccination fees; airport taxes; all items of a personal nature such as telephone calls, beverages; laundry; excess baggage charges and gratuities; travel insurance.
Please note that infants under 2 years of age (international flights) and under 3 years of age (domestic flights) are not allocated a seat.

Bookings from outside of Australia

If you are booking from outside of Australia, we will contact you to obtain further information.
We will require a photocopy of your passport and credit card (front and back).

Vaccinations:

Vaccinations are required for certain destinations. Please contact your local doctor who will advise you of these requirements.

Amendments and Cancellation of Bookings:

All cancellations must be in writing to the company, your cancellation will not become effective until it has been acknowledged by the company.
Most airfares are non-refundable, amendments can be made however these will incur high amendment fees.
If you request the Company to cancel your travel arrangements, our liability will be limited to a refund of all monies paid by you, less any of our cancellation service fees, and, less charges that may be made by airlines, hotels, cruise companies, tour operators, and other suppliers.
Whilst we will attempt to provide you with an estimate of your cancellation charges, we must stress the final figure will not be known for approximately 12 weeks.
All Flightplanet service fees and credit card fees are non-refundable.
Any changes to a Virgin Blue booking must be made directly with the airline.
Refunds of monies takes approximately 12 weeks to obtain from the Travel Provider.
Flightplanet reserves the right to charge minimum cancellation fees of $325 per person in addition to cancellation fees from the service providers.

Travel Insurance:

We strongly recommend all clients to take out travel insurance. Travel Insurance covers numerous contingencies. There are however some exclusions including insolvency of airlines and some other operators, acts of terrorism and other acts of wars.
Bulletins issued regularly by the Australian Foreign Affairs Department advise of hardships suffered by Travellers throughout the world. Comprehensive Insurance is available to protect you against any unforeseen circumstances affecting you or your family, or your friends, prior to you departing (eg if you need to cancel travel due to death, illness, injury, employment, etc, you can insure against the cost of high Cancellation Fees) or unforseen circumstances whilst on your journey.
Your Insurance cover is not valid unless you have received back a “Certificate of Insurance”. If you have not received a “Certificate of Insurance” you are not covered.

Air Fares…Special Conditions:

There are numerous rules and regulations affecting most advance purchase and other discounted air fares, which involve cancellation or amendment fees, should you need to amend your travel plans.

Flight Timings, Departure Points, Flight Numbers

The timings shown on your ticket are subject to re-confirmation on both OUTBOUND and INBOUND journeys. Please contact the applicable Airline at least 72 hours before departure. The Company cannot accept responsibility for amended flight timings or numbers.

Multiple Tickets and Connections

If you have purchased multiple tickets which means you are transiting or connecting from one carrier to another or the same carrier, we cannot accept responsibility for any future schedule changes that may effect your connecting times. Also, we cannot accept responsibility for any additional costs incurred in changing your flights to accommodate possible future amended schedules. Please note that when booked on multiple airlines (and sometimes even on the same airline) you may need to check in your baggage with each airline at the transit point.

Hotels

Please note that hotels and room grades are listed as per your reservation. Please be aware that hotel grades and hotel standards do vary between countries. Any transfers, breakfasts or late checkouts that you have booked and prepaid will be shown on the vouchers. Please note: two star and budget hotels generally contain limited facilities and standards vary quite considerably across this hotel grade.

Security Deposit – Car Hire:

On all car rental bookings, the majority of charges are pre-payable in Australia or New Zealand. On collection of your car you will however be asked for a security deposit to the value of between $50 and $1000. This deposit can be paid by cash or the car rental operator may accept credit card imprint. If the deposit is lodged in cash, then the refund will be made to you direct by the car rental operator. If a credit card is used, a charge will be deducted to your account covering petrol and ancillary cost upon termination of your rental.

Travel Information:

The Australian Government through the Department of Foreign Affairs and Trade has an information website on travel advice for various destinations around the world. We recommend that you refer to w ww.dfat.gov.au/ or on (02) 6261 3305.
This DFAT service will keep you updated on any new developments and offer you the most up to date advice.

Vaccinations:

Vaccinations are required for certain destinations. Please contact your local doctor who will advise you of these
requirements, or visit www.travelvax.com.au

Bonds for Apartments and Campervans:

On these products, you will be required to lodge a security bond to cover damage and other ancillary charges. These bonds can be paid by cash or credit card imprint. Bonds will be returned to you direct by the operator upon termination of the rental.

Refunds for Unused Services:

No refunds will be made for unused services where a client terminates the service after it has commenced regardless of reason. In the event of returning a car early the operator may provide you with a statement showing the amount of unused services. This figure is for domestic taxation purposes and does not mean a refund for the amount will be made. Where refunds for unused services are allowed (eg for go-as-you-please accommodation vouchers) a service fee will be charged against the value of the refund. Please ensure that, when requesting a refund, you enclose copies of all relevant documentation.

Frequent Flyer Customers:

Please note if you are a frequent flyer member you should retain your air ticket and boarding pass as the Company cannot be held responsible for obtaining copies of your air ticket at any future date.
It is your responsibility to check with your Frequent Flyer Program whether the booking class on your reservation is eligible for frequent flyer points.
Your Frequent Flyer number can be added at time of making your initial reservation.

Deep Vein Thrombosis (DVT):

There has been recent publicity in the media regarding the possible connection between Deep Vein Thrombosis (DVT) and long distance travel. It is your responsibility to ensure that you are fit for travel. If you have a medical condition or physical disability which may be exacerbated by long distance travel or you have any concerns that you may be susceptible to developing DVT you should immediately contact your doctor. The Company will not be responsible for any illness or injury you may suffer relating to DVT as a result of undertaking your proposed travel arrangements.

Privacy Act:

When you or your agent provides us with personal information about yourself, you acknowledge that we will use this information principally for the purpose of making travel reservations for yourself. Where necessary, we may disclose this Information about you to third parties including but not limited to airlines, hotels, car rental companies, rail operators tour wholesalers, insurance companies and their intermediaries. From time to time we may send you information that may help you to understand and make decisions regarding your travel needs this could include holiday and flight offers. If you do not consent to us sending you information please advise us by registered mail. You have a right to access any personal information held by us on request.
On making a reservation, you will automatically be added to our client database and will receive our weekly newsletters featuring the best Holiday, Cruise and Flight specials.
